Who we are

CONCEPT ICE CREAM TR L.L.C, Dubai, United Arab Emirates, operates this client portal and is the controller of the personal data processed here.

What we process, and why

Your company details (name, address, TRN), the contact email address you sign in with, and the documents we have issued to you: invoices, delivery notes, credit notes and agreements.

We process this to give you access to your own commercial records, to accept payments, and to meet our bookkeeping obligations. Quotations are never shown in this portal.

We also keep an access log: when you sign in and which document you open. It exists so that we can tell you, and ourselves, who saw what.

How long we keep it

Invoices and related records are kept for at least five years from the end of the relevant tax period, as required by Article 78 of the UAE VAT Decree-Law. Capital-asset records are kept for ten years, real-estate records for fifteen.

This means a deletion request cannot remove your invoices. We can close your portal access at any time, and the records stay in our books because the law requires it.

Your rights

You can ask us what we hold about you, ask us to correct it, and object to or restrict processing that is not required by law. Write to us and we will answer.

You can also ask us to close your portal account. Your documents remain available to you by email.

Security

This portal runs separately from our internal systems and holds no access to them. Every request is checked against your own account at the database level, not only in the interface.

Documents are never handed out as shareable links. Each file is fetched through an authorised request, so revoking access takes effect immediately.

If something goes wrong, we will inform the UAE Data Office and, where the risk to you is high, you directly.
